Ask a fleet whether its ETAs are accurate and you'll get an opinion. Ask for the number — median error between promised and actual arrival, by lane, over the last quarter — and most operations can't produce it, because nobody is systematically comparing the ETAs they publish against the arrivals that actually happen. That comparison is the whole discipline of ETA accuracy measurement, and it's the foundation under every service conversation with every shipper.
The mechanics are simple to state: capture the ETA at the moments it matters (when the load was booked, when it went in transit, and at fixed intervals approaching delivery), capture the actual arrival from a trustworthy source, and measure the difference. The arrival timestamp is where measurement usually goes wrong — manually keyed arrival times are rounded, late, and occasionally invented. Geofenced arrival events from ELD or telematics data give both sides of a dispute the same clock.
Aggregate accuracy is nearly useless; segmentation is where the signal lives. An operation that is 95% on-time overall can be 70% on a specific lane, at a specific facility, or for a specific appointment type — and that 70% is what the affected customer experiences and scores. Break accuracy out by lane, by facility, by customer, and by how far in advance the ETA was published. A facility whose dwell consistently blows up afternoon ETAs is a finding you can act on; a fleet-wide average is not.
Accuracy compounds into scorecard math because shippers grade what they can measure: on-time percentage, EDI 214 timeliness, and increasingly OTIF-style metrics with chargebacks attached. An accurate ETA published early is the difference between a managed exception (appointment rescheduled, receiver warned, penalty waived) and a scored failure. Carriers with demonstrable ETA accuracy also walk into rate and capacity conversations with evidence instead of assurances.
The same measurement settles money disputes. Detention claims live or die on when the truck actually arrived and left; a measurement pipeline built on geofence events produces that record as a byproduct. On-time disputes, appointment no-show fees, and driver-assist claims all get cheaper to resolve when both parties are looking at the same instrumented timeline.
A practical way to start is a bounded assessment rather than a program: take a representative slice of live freight for thirty days, log the ETA each shipment carried against its actual arrival, and count the manual updates and check calls that happened alongside. That produces three numbers worth having — how accurate today's ETAs actually are, where the misses cluster, and how much labor currently compensates for the gap. Whatever tooling decision follows, it gets made on measured freight instead of a demo.
